The Conference Coordinator partners closely with firm executives and administrative teams to ensure the seamless planning and execution of meetings, conferences, and events across the firm’s New York and New Jersey locations.
Responsibilities
• Manage meeting room reservations through EMS, maximizing space utilization and resolving scheduling conflicts
• Coordinate all meeting and event logistics, including AV, catering, room setups, signage, materials distribution, and special requests
• Send booking confirmations and conduct 24- and 48-hour event reconfirmations to verify schedules, attendance, setup details, billing, and equipment needs
• Serve as the primary client contact before, during, and after events, ensuring timely communication and exceptional service
• Communicate event requirements to internal teams and external vendors to ensure smooth execution
• Prepare and distribute Event Resumes with detailed event information for all involved departments
• Participate in planning, pre-event, and post-event meetings to review logistics, operations, and client feedback
• Supervise conference aide staff during meetings and events
• Manage event billing approvals, monitor expenses, and reconcile final event costs
• Process meeting cancellations within EMS and apply cancellation policies as needed
• Partner with the Foodservice Director to coordinate standard and specialty catering events
• Inspect meeting rooms prior to events to ensure proper setup, equipment functionality, and readiness
• Welcome meeting hosts and respond promptly to last-minute requests or changes
• Handle incoming calls and emails regarding new bookings and event updates
• Conduct facility inspections, client tours, opening and closing walkthroughs, and operational reporting
• Provide reception coverage as needed
• Meet or exceed monthly, quarterly, and annual KPI goals
• Support additional operational responsibilities as assigned
Key Qualifications
• Strong organizational, multitasking, and problem-solving skills in a fast-paced environment
• Excellent verbal and written communication skills
• Proficiency with Microsoft Office Suite, EMS, Social Tables, and office technology
• Ability to remain calm, professional, and detail-oriented under pressure
• Strong client service skills with the ability to maintain confidentiality and sound judgment
• Collaborative, dependable, and proactive team player committed to operational excellence
• 2–3 years of conference or event planning experience in a corporate or conference center environment
