Job Description

We are currently seeking a proactive Office Administrator for a key client in the East End of Louisville. This is a 100% in-office position that will begin as a temporary contract with the potential to transition into a permanent, full-time role. Qualifications & Requirements
  • High school diploma or equivalent is required; an Associate’s degree is highly preferred.
  • At least 2+ years of success in office coordination, administrative support, or a similar operational capacity.
  • Advanced skills in Microsoft Office Suite (Word, Excel, Outlook) and the agility to quickly master new digital platforms and office technologies.
  • A proven ability to prioritize multi-layered tasks and meet strict deadlines with high autonomy.
  • Exceptional interpersonal abilities to serve as a seamless link between internal teams and external vendors.
  • Experience planning and executing corporate events with a keen eye for creative detail and logistical precision.
  • A proactive mindset characterized by high initiative, critical thinking, and decisive problem-solving.

Responsibilities

Key Responsibilities

  • Daily Office Operations
  • Answer phones and greet clients
  • Oversee the functionality of conference rooms and essential office technology, including printers and copiers, to ensure zero downtime.
  • Proactive Problem Solving: Anticipate operational bottlenecks and implement solutions before they impact the team.
  • Manage the secure logging and routing of checks and invoices with a high degree of accuracy and accountability.
  • Mail Operations: Direct the end-to-end process for all mail and expedited shipments (FedEx/UPS), ensuring timely distribution and dispatch.
  • Delivery Oversight: Proactively monitor tracking logs and resolve carrier delays to maintain seamless business continuity.
